How We Process Personal Data

We process personal data for several purposes, described below. We only disclose personal data where necessary for these purposes or to comply with legal obligations.

Business Contacts (Partners, Suppliers, and Customers)

As part of our daily operations, we process personal data relating to contacts at our business partners, suppliers, and customers.

Categories of data processed: 

  • Name, job title, company, contact details (email, phone number) 
  • CRM-related data such as communication history or engagement notes 
     
     

Legal basis: Legitimate interest (Article 6(1)(f) UK GDPR) in managing business relationships, and legal obligations (Article 6(1)(c) UK GDPR). 

Data sharing: 
Where relevant, we may share this data with: 

  • Product and technology partners 
  • Group companies (including Novicell offices in other countries) 
  • Professional advisers (such as auditors and legal counsel) 
  • Service providers assisting in our operations 
     
     

Retention:
We retain this data for the duration of the relationship or until the contact leaves their organisation. Financial records are retained for up to six years in accordance with UK accounting requirements. 

Website Users

  • Pages visited and interactions 
  • Data from third-party tracking tools (where consented)
     

Legal basis: Consent (Article 6(1)(a) UK GDPR). 

Data sharing:
With your consent, we may share information about your visit with: 

  • Google (for analytics and ad performance measurement) 
  • Social media platforms such as LinkedIn, Meta (Facebook), or X (Twitter) for targeted advertising and performance insights 
  • Product partners, to measure campaign performance and improve integration effectiveness

How long we process your personal data for these purposes depends on which cookies you consent to. 

Cookie consent:

When you first visit our website, you will be asked to provide your consent for non-essentials cookies through our cookie banner. You can withdraw or change your consent at any time through the cookie settings on our website.  

Job Applicants

If you apply for a position with us, we will process your personal data as part of the recruitment process.

Categories of data processed: 

  • Name, contact details, employment history, education, skills, references, and interview notes 
  • Publicly available professional data (e.g., LinkedIn) 
  • Test or assessment results (if applicable) 
     

Legal basis: To take steps prior to entering an employment contract (Article 6(1)(b)) and legitimate interests (Article 6(1)(f)). 

When you submit a solicited or unsolicited application to us, we ask for your consent to store your application materials in our CV database for potential future employment, in accordance with Article 6(1)(a).  

Retention:  

If your application does not lead to employment with us, we will generally retain your application materials for up to six months after the recruitment process has been completed. 

If you consent, we may retain your data in our candidate pool for up to 24 months for future opportunities. You can withdraw this consent at any time by contacting [email protected]

Direct Marketing and Events

If you subscribe to our newsletters, attend events, or engage with us through marketing channels, we may process:

  • Name, contact details, company, preferences, and event participation data 
     

Legal basis: Consent (Article 6(1)(a)) and legitimate interests (Article 6(1)(f)) for existing customers. 

Data sharing: 
We may share data with: 

  • Email and marketing automation providers 
  • Event and ticketing partners 
  • Product and technology partners (where relevant to a campaign) 
     

Retention:  

Generally, we process your personal data until you unsubscribe from marketing communications. You can unsubscribe at any time using the link in our emails or by contacting us directly on [email protected] 

Event photography and filming:  

Photos and videos may be taken during Novicell events for promotional use across our website and social media. Please inform a member of staff on the day if you prefer not to be included.

International Data Transfers

We may transfer your personal data outside the UK (for example, to our offices in Denmark or to our technology partners). We only do so where appropriate safeguards are in place, such as:

  • Adequacy regulations by the UK government, or 
  • UK-approved Standard Contractual Clauses (SCCs).
